How to use Excel to PDF
- 1Drop an XLSX, XLS, XLSB, ODS or CSV file into the box, or click to choose one.
- 2If the workbook has several sheets, tick the ones you want in the PDF. Hidden and empty sheets start unticked.
- 3Choose the scaling (fit all columns on one page, or actual size), orientation, paper size, header rows to repeat, font size and margins.
- 4Turn gridlines, page numbers and the sheet name on each page on or off, and check the preview of the first pages.
- 5Click Download PDF. The file is built on your device and saved with the same name as your spreadsheet.
Why spreadsheets print badly, and what this tool does about it
Printing a spreadsheet usually goes wrong in the same ways: the last columns spill onto a separate page, the header row only appears on page one, and long notes get cut off. This converter lays the table out again for paper instead of copying the screen.
- Fit all columns on one page scales the whole table so every column fits the page width. Actual size keeps the text size and continues extra columns on following pages instead.
- Auto orientation switches a sheet to landscape when its columns are too wide for portrait.
- Repeat header rows prints the first one to five rows at the top of every page, so a 20-page list is still readable.
- Long text wraps inside its cell, numbers are right-aligned, merged cells such as report titles span their columns, and hidden rows and columns stay hidden.
The PDF contains real, selectable text rather than a picture of the sheet, so it stays small and you can search it or copy from it.
Korean, Japanese and other non-Latin text
Many online converters drop Korean text or show it as empty boxes because the PDF has no font for it. When your sheet contains Korean, Japanese kana or Chinese characters used in Korean, this tool embeds the Noto Sans KR font, keeping only the characters you use so the file stays small. Characters that font does not cover, such as emoji or many simplified Chinese characters, appear as empty boxes, and the page warns you before you download.
Number and date formats are shown the way Excel shows them: 1,234,567, 12% and 2024-01-15 stay exactly as formatted. CSV files are read with automatic encoding detection, so CSV files saved by Korean Excel (CP949) open correctly too.
Limits
The PDF is a clean table, not a pixel copy of Excel. Cell colors, fonts, borders you drew yourself, charts, images and print areas set in Excel are not reproduced, and text is set in one regular weight. If you need the data in another format instead, use Excel to CSV. To combine the result with other documents, use Merge PDF. Very wide sheets get small text when fitted to one page; the preview warns you below 5 pt so you can switch to landscape or actual size.
Frequently asked questions
Is my spreadsheet uploaded anywhere?
No. The file is read and the PDF is built inside your browser. Nothing is sent to a server, so it is safe for payroll, customer lists and other private data.
How do I stop columns from being cut off onto a second page?
Keep the default Fit all columns on one page. Every column is scaled to the page width, and Auto orientation switches wide sheets to landscape.
Can the header row appear on every page?
Yes. Header rows to repeat is set to the first row by default. If your sheet has a title row above the column names, choose the first 2 or 3 rows.
Which file types can I convert?
XLSX, XLSM, XLS, XLSB and ODS workbooks, plus CSV and TSV files. Password-protected workbooks must be unlocked in Excel first.
Will my Excel formatting be kept?
Values appear as Excel displays them, including number, percent and date formats, merged cells and hidden rows and columns. Colors, custom fonts, drawn borders, charts and images are not copied.
Can I convert only some sheets?
Yes. Tick the sheets you want. Each selected sheet starts on a new page, and page numbers run through the whole PDF.
